    11:30am *** VERY IMPORTANT *** ALL CARS ARE REMOVED FROM THE STREET in preparation for the event to open. If your car is on the street at this time, it does not matter what you still have to unload, your car must be immediately removed from the festival - no exceptions.

    11:45pm CROWD PROTECTION BARRICADES ARE MOVED INTO PLACE by the City of Fort Worth. These are a fairly new addition to ArtsGoggle but a critically important tool that the Fort Worth Police Department will use to protect the crowd at the festival from any threats of cars driving into the event site. These 'crowd protection barricades' are placed on all streets that intersect Magnolia Avenue (north and south) and block access to anything ENTERING Magnolia Avenue. They also prevent anything from LEAVING Magnolia Avenue. Typically, the city will use dump trucks, water trucks, or other heavy industrial vehicles that are placed sideways on all inbound streets. At the major 8th Avenue, Hemphill St. and S. Main Street intersections the City will deploy steel barricades. It is imperative that all vendor and partner cars are off Magnolia Avenue before these vehicles are in place or your car will get trapped in the festival area.

    LET'S TALK MAPS

    From here forward, all ArtsGoggle arrival maps are “upside down” but for a good reason. Let me explain.


    All the maps have south at the top of the page and north at the bottom of the page.

    This may feel odd to look at now but when you are driving you will be looking at the map in the very same direction you are pointed in your car. The example maps that we will share here explain how to arrive and what the street will look like to you AS YOU ARRIVE. The maps are facing the same direction (facing south) that your car will be facing (facing south) as you arrive. This is similar to the way that your Apple Map or Google Map will automatically orient itself as you drive, these maps are intentionally oriented to your driving view.

    All artist and partner cars arrive from the north via W. Rosedale Street and then turn south onto their arrival street towards Magnolia Avenue EXCEPT FOR BLOCK 16-18 GROUP A ARTISTS. This one area has a slightly different arrival plan to avoid congestion.

    ARRIVALS

    HOW ARRIVAL GENERALLY WORKS

    We have over 1,000 artists, 80 food vendors, 50 bands, 30 sponsors and 250 volunteers who will be participating in ArtsGoggle so it is CRITICAL that you follow careful instructions about HOW and WHERE to arrive and set up.

    Because of the high volume of car traffic set up will entail, we will be staggering the ARTIST ARRIVAL TIMES in two groups. Please understand that despite your arrival time or your arrival order SPONSOR AND FOOD TENTS have a guarantee to the endcaps they are promised and as they are shown on the map. That means that if a sponsor tent is a bit behind in setting up they will still have the ability to set up on the ends. Please refer to your block's specific maps accordingly.

    LOAD-IN PROCESS

    WE DO NOT ASSIGN YOU TO AN EXACT TENT SPACE ON THE BLOCK.

    INSTEAD, a
    rtists set up by group, first-come, first-served SIDE BY SIDE as they arrive to their block starting from the west end of the block and moving towards the east. (Look at the diagram above)


    Each block will have two volunteers assigned to guide load-in.

    As you arrive to your block (using your assigned arrival street) you will be greeted by a BARRICADE MONITOR. The barricade monitor's job is to greet you, ask your name and business name, and ensure that you have arrived to the correct block. They are also making sure that you have arrived to your block at the correct arrival time and arrival group. With those things confirmed, they will check you off their arrival list and radio your BLOCK CAPTAIN for approval to send you through the barricade for your arrival.

    Your BLOCK CAPTAIN is in charge of welcoming you to your block and showing you where your assigned set-up space is located.
    Block Captains must keep track of the flow of approximately 44 artists arriving to their block. Because artists are assigned their spot in the order they arrive, we ask that you are patient and respectful with your block captain's assignment of your space. They must keep track of which 10'x10' (or 10'x20' space) is assigned to which artist. That is tricky because artists are asked to drop their supplies into their space, and go park, and come back to set up which means that keeping track of the spacing without the tents fully erected can be tricky. Your block captain helps ensure that set-up occurs in the exact pattern that allows everyone to fit on the street as the diagrams show. If you are assigned a space and then asked to move forward or back a bit, please just move. They are doing the best they can in an organized chaos. Don't get snippy with them. Or you get to talk to me....about being ugly to a volunteer who woke up early on a Saturday morning to help you have a good day. Trust me, you don't want that.

    Set Up First / Arrives at 8:00am / Set-up facing south

    If you are the first tent in Group A it is CRITICAL that you set up the FRONT OF YOUR TENT IN THE CENTER OF THE EASTBOUND TRAVEL LANE which should be exactly 10 feet from the curb. It is most critical that the FIRST artist arriving set up in exactly this position so we will be placing a piece of tape on the street where the first artist should place the front of their tent. This establishes the 'center line' spacing for all of the Group A artists. Your block captain will help with this. (see diagram)

    GROUP B (represented as green boxes)
    Arrives at 9:30am / Set-up facing north

    Artists in Group B will arrive ideally after all Group A tents are set up. Group B artists are to set up with their tent back facing Group A’s tent backs, leaving two feet between the backs of the tents for our electrical cords. This should leave exactly 10 feet of space between the Group B artists and the northern curb of Magnolia Avenue. It is critical that we leave this much space for artist cars to continue to unload and then later pack up after the event.

    NEXT TO YOUR FRIEND?

    IF YOU REQUESTED TO SET UP BESIDE ANOTHER SPECIFIC ARTIST, and that artist has successfully reserved their space on your exact same block and same arrival group, it will be critical that you arrive at the same time, one car in front of the other, so that as you arrive to your block for set-up your are in order to set up side by side. We highly recommend that you make arrangements to first meet up at a rendezvous spot somewhere AWAY FROM MAGNOLIA so that you can follow each other to arrive at the festival site together. If you do not arrive together we cannot guarantee that your tents can be set up beside each other. We’ll do our best to make accommodations the day of but you’ll need to just “go with the flow” of set up please.



    SHARING?

    IF YOU ARE SHARING YOUR 10' x 10' TENT WITH ANOTHER ARTIST this same system will apply. You must arrive to your block check-in with your car and the car of the artist sharing with you together. If your sharing artist is riding with you in your car, great. That simplifies ensuring you are able to set-up together conveniently. If you have two cars, they must arrive together to the barricade, one in front of the other.

    In order to maximize the flow of traffic we request that you arrive with a set-up assistant. We will allow you to pull your car onto Magnolia Avenue and unload everything into your tent space, BUT NOT SET UP until your car has been moved off of the street into the artist parking area. Ideally, you can unload your stuff and your set up assistant will be able to go park your car and return to help you set up the booth. If you leave your car on the street you will cause a major traffic jam and delay set-up for other vendors behind you.

    BREAKDOWN & DEPATURE

    HOW TO PACK UP AT THE END

    When it is time to tear down, please be mindful of the public on the street. After the event closes it always take additional time to move the public off the street and back onto the sidewalks for artist break down. Here is how breakdown will work:

    • Pack up your entire booth into the most compact area possible.
    • Sweep and tidy up your street area, removing all trash. DO NOT LEAVE ZIP TIES OR ANY TRASH ON THE STREET. This is a community that is proud of its street and works very hard to keep it clean. Please treat it will the same level of respect that our Near Southside community members do.
    • After your area is clean, call your block captain over for an inspection.
    • If your booth space if packed and clean they will issue you a barricade pass.
    • With your barricade pass in hand, go get your car.
    • Re-enter Magnolia Avenue using the very same traffic pattern as your “arrival instructions.” Please go all the way back to Rosedale and re-enter Magnolia Avenue from the very same street that you arrived to the festival on. NO EXCEPTIONS.
    • Present your barricade pass to the barricade monitor. They will allow you through the barricade.
    • Load your items and depart carefully through the barricades.

    CANOPY & SUPPLY LIST

    ARTISTS ARE RESPONSIBLE FOR PROVIDING TENT AND ALL DISPLAY ITEMS NEEDED

    Each artist has been allotted 10'x10’ or 10’x20’ of space.

    Please do not leave any space between your tent and your neighbors tent. It will cause unnecessary gaps in trying to provide power to all artists. And truly folks, we do not have the space to spare. Every single block is completely full and cannot spare event 10 extra feet of space. Side-by-side, no gaps, tents touching, no exceptions.

    Please be thoughtful about your time management, as others around you will also need access to the street.

    BRING YOUR OWN TENT

    Remember, we are providing the street closure, marketing, advertising, coordination and space….the rest is on you! Please make certain to bring your own tent, hanging structures, tables, chairs, signage and any additional display items needed. You are required to secure your tent from high winds with weights on the tent. Taylor’s equipment rentals on University Drive has concrete weights which you can rent or we have seen many other artists use homemade solutions such as water weights.

    SUPPLIES YOU NEED TO BRING

    • Tent (10’x10’ or 10’x20’ based on your space request, any color is fine) We highly recommend Ez Up Tents, as they are sturdy, lightweight (in comparison to others) and have the necessary additions such as shelter walls, tent weights, and lighting systems that you may need. https://www.ezup.com
    • Tent weights - You must bring at least four tent weights to secure the legs of your tent. We cannot use stakes, as we will be set up on the street, so heavy tent weights are important for everyone’s security. October is often windy. Be prepared.
    • LED lights for your booth - we highly recommend LED because our power supply is limited and LED’s help make the most efficient use of our generators
    • An outdoor extension cord
    • An outdoor power strip
    • Display items for your artwork
    • A chair - this really makes the day so much more enjoyable. Also sitting outside your tent allows more room for shoppers.
    • Comfortable shoes. Really, this is an important suggestion.
    • A trash bag. You'll inevitably have your own trash to manage at the event. Please come prepared and don't rely solely on our festival trash cans that are designed for public use and may not be available to you when you set up or breakdown at ArtsGoggle.
    • Battery backups for your phone and/or electronic device. The power is not on the minute ArtsGoggle begins so it’s important to bring a battery backup device to keep your phone/ipad charged to make sales and stay aware of festival alerts. Email will be our primary means of community during the event so you’ll want to make sure to have your mail accessible on your phone please.
    • A helper for set up - if possible, we highly recommend they arrive in your car with you. After you unload onto the street, and before you set up your tent, you’ll need them to go park the car for you. Cars cannot stay on the street while you set up your booth.
    • A support person to help you throughout the day. ArtsGoggle is a 14+ hour endurance test, make sure you have some backup!
    • A small cooler with drinks (non-alcoholic) for you and your team. This must remain hidden from the public in order to comply with our food vendor policy.
    • Signs! Your booth with be among nearly one thousand others so make sure to plan for how you will stand out among the crowd. Booths with strong branding, such as signs that can easily be seen from a distance, memorable color choices, and inviting entry spaces are always more successful at public festivals. Make sure to consider the wind when printing signs. We recommend "blow through vinyl mesh" for any large-scale printed pieces.

    POWER IS PROVIDED TO ALL ARTISTS ON THE STREET

    ELECTRICITY: ArtsGoggle provides generators throughout the Magnolia Avenue OUTDOOR festival site for and will coordinate a power connection for each artist during set up. We are able to provide a sufficient amount of power for each artist to have LED booth lights (we strongly recommend using LED lights if possible) and to charge ONE small electronic device. Our power supply is not sufficient for items with motors, fans, or for booths needing a substantial amount of lighting that is not LED lighting. If you would like to discuss additional power accommodations, please make sure to detail this request on your application. Artists participating at ArtsGoggle at an indoor venue should discuss power arrangements directly with the venue. For outdoor artists, power will be provided along a 2' easement (empty space) that is left between the artist tents facing north and the artist tents facing south. All artists are required to bring their own booth lights, a 15' outdoor extension cord, a power strip, and any other items needed for use of power. We provide each artist one plug, the rest is on you.

    SALES

    You are responsible for all of your sales, however you decide to handle taxes, and your own transactions. The purpose of ArtsGoggle is to create a safe, profitable and interesting community event in support of the Near Southside development and our local arts community. With that in mind, we do not take any percentage of your sales at ArtsGoggle. All sales are yours. Run this like your own private business. We encourage you to follow all state and federal tax requirements, as this is your responsibility as a small business owner. We wish you a very successful event!

    THE ARTSGOGGLE GUIDE

    A published guide to the festival

    The ArtsGoggle guide at https://artsgoggle.org/guide is a handy online (mobile friendly, actually better for mobile than desktop) tool where the public can see all of the event details including all participating artists. There is even a way for the public to "heart" their favorite artists and keep track of those they have seen that they wish to revisit or stay in touch with.

    This guide is NOW LIVE but we will warn...it is a constant work in progress. We update the guide several times per day all the way until event day.

    The information published for your artist profile, musician profile, or food vendor profile CAME FROM YOU. The photos, bios, links and everything else published in this guide are directly published from what you entered in your applications. If you aren't liking what you see... then we encourage you to work harder to submit the correct details next time when you apply. At this point - so near the festival day - we MAY NOT (in fact we are likely not) to be able to make corrections. If there is something ESPECIALLY WRONG you can email megan@nearsouthsidefw.org to correct changes. No promise.

    The ArtsGoggle Guide has several different ways to view it

    You can view all artists and partners by block - this makes it easy for anyone walking along the festival to see artists profiles based on where they are standing in real time. It also helps the public find your profile later, if they can remember which general area they saw you...they can find you again.

    You can view a list of all artists by alpha - in case someone wants to look you up by name.

    You can FILTER artists by medium or various other criteria using the filter.

    Food vendor profiles can be viewed separately.

    And because we are partnering with Lost 'N Sound, producing both events at the same time, music is able to be browsed by both performance time and by venue using our handy guide at https://lostnsound.org/guide which is also linked in the official ArtsGoggle guide using the music tab.

    It is also possible to see all participating VENUES, which are businesses that are also hosting programming on ArtsGoggle day.

    NO WIFI

    Friends, I wish this wasn't the case, but ArtsGoggle cannot provide wi-fi access to vendors. We tested the system last year and it just didn't work. Each year we look into this and one day hope that we will be able to provide wifi access to all partners but it is not possible this year. Please make sure to plan for your own cell service to process sales. We are providing power for you to charge your sales devices for all on-street artists.

    THE RULES

    NO AMPLIFIED SOUND IN YOUR BOOTH
    In consideration for the artists the surround you, artists are not allowed to play music or amplified sound within their tent for prolonged periods of time. If you have a product that utilizes music or noise to demonstrate the artwork, such as a handcrafted guitar or a wooden speaker, you are welcome to demonstrate the sound to a potential customer but are asked not to consistently play music or any noise from your booth throughout the festival so as not to disrupt the conversations or enjoyment of other artists participating nearby.


    NO SMOKING OR VAPING FROM YOUR TENT
    If you would like to use products of this type, we ask that you please move away to an area outside of the festival footprint to do so. Artists who are inconsiderate about this rule will be asked to leave the festival.


    NO SUBSTITUTIONS
    Artist positions cannot be transferred, sublet, franchised or sold to any other person, nor can they be shared with another independent artist without written approval. This means, if you can't come, you cannot just give your spot to someone else.


    APPROVALS WERE BASED ON YOUR APPLICATION ART
    Acceptance and non-acceptance of applications will be at the sole discretion of ArtsGoggle Management and will be based on the information given by the applicant on their application, meeting with approval the expectation for quality, diversity and artistic merit. You were approved based on the artwork samples you were submitted in your application. If your artwork on site is not representative of the art you applied with, and does not meet festival standards, you can and will be asked to leave. This basically means...don't sneak in some weird stuff on us.

    CANCELLATIONS Notification of non-attendance is required. If no notification is given the artist will be prohibited from participating in all future events. Your $100 application fee will not be refunded, as this is not a participation fee but instead an application fee, so even with notice of cancellation we cannot provide refunds.

    WEATHER NOTICES

    Don’t panic about the weather. Texas can be unpredictable but we are keeping a careful eye on things. Trust me, if anyone can sympathize with you it is me. EVERY YEAR rain is predicted on ArtsGoggle week. Every. Year. And every year that I have done this event we have ended up with a great day. Please keep charging forward with plans to participate. ArtsGoggle will only cancel if serious weather is predicted for the day, enough to make attending or participating in the event impossible or totally impractical. If the morning is expected to have showers that will clear up later in the day, we will simply delay arrival times.

    FOR PRE-EVENT WEATHER NOTIFICATIONS,
    ALL EVENT UPDATES WILL BE SENT TO YOU VIA EMAIL SO KEEP A CLOSE EYE ON YOUR EMAIL


    In the event of poor weather, we will notify you via email. Please make certain to watch your email the night before and morning of the event. We have no alternate indoor location for this event, so if a cancellation or delay is made you will be notified via email by 5:00am at the latest. Remember, ArtsGoggle in a non-profit event designed to support our arts community. We spend over $220,000 in advance of the day preparing for the event infrastructure and none of that is refundable. For this reason we cannot issue refunds to artists if you decide not to participate or if the event must cancel, delay, or shift in any way.

    The spaces have generously offered to give you a place to get out of the festival hubbub. The lounge will give you a place where you can use an indoor restroom, have a seat, bring your lunch or dinner in for a quick bite out of the sun. We will have a limited number of light snacks for you. Please, please I beg that you treat this place with respect, clean up after yourself, and make sure that only event partners are allowed in. No friends or family please unless they are registered artists or are your official booth helpers. These lounges also serve other event vendors, partners and sponsors.

    Becky Bethel, on our Near Southside team, has organized all of the artist lounges. She has worked tirelessly to provide food, toilet paper, and all of the coordination needed to make the lounges comfortable for you. If you see Becky, please give her a high five. She cares deeply about this.

    TRASH SERVICES

    ArtsGoggle is fortunate to have the partnership of Trashbusters Texas, our longtime trash and recycling partner. Owner Nathan Fief and his team started collecting trash and sorting recycling for ArtsGoggle as kids working for his dad's business. He has literally grown up at this event and takes great pride in his work. More than 100 event trash cans and recycling bins will be set out on the street on ArtsGoggle day, supplementing the everyday trash cans that are already on Magnolia. Nathan and a team of 6 workers will serve all 100+ cans throughout the event hours. It's a HUGE job

    Please do not make it harder for him by overfilling trash cans, setting out large unwieldy trash pieces such as giant cardboard boxes or other event supplies. If you have large items to throw away it will be your responsibility to take them to the designated dumpster locations on this map.

    If you see a trash can overflowing during the event, please contact any volunteer with a radio to let them know we need to call for service. Chances are, Nathan is already on it but it never hurts to keep him informed of areas needing attention.

    BATHROOMS

    In addition to the indoor bathrooms at the artist lounges (Block 12/13 and Block 17/18), we are providing approximately 75 portable toilets at ArtsGoggle located every other block.

    If you use the restrooms during the event and they are in need to toilet paper replacement or major servicing, please find any volunteer with a radio and notify them. Thank you.

    FOOD

    Magnolia Avenue is fortunate to have many incredible restaurants but on event day, lines and wait times can be long for traditional seated service. Many of these restaurants will transition to quick-service models that offer grab-and-go meals. However, in addition, ArtsGoggle has more than 80 local food vendors participating in the festival.

    Food vendors are assigned to nearly all blocks of the festival, but there are a handful of concentrated areas where food courts will be located. Food 'courts' are established as any area with more than 3 food vendors.

    FIRST AID & LOST-AND-FOUND

    We are grateful to have medical professionals on site at ArtsGoggle. Should you need assistance you can ask any volunteer with a radio for help. For minor issues where you are able to make your way to help (think, I need a band-aid, an Advil, etc.) we ask that you please seek help at our two First Aid tents located at S. Adams Street (Block 8/9 intersection) and at Hemphill Street (Block 14/15 intersection).

    I will not be using my phone during the event except for emergencies. I will be using a radio. All block captains have radios.

    AFTER SET UP

    Throughout the day there are roaming volunteer block monitors in bright green colored ArtsGoggle “AUTHORITY FIGURE" volunteer t-shirts. Reach out to them for help, as they will also have radios.
